ORANGE PIXEL MEDIA
This Privacy Policy explains how Joseph Dunn-Cooper, a sole trader trading as Orange Pixel Media (“Orange Pixel Media”, “I”, “me” or “my”), handles personal information through this website and when providing photography, videography, editing, content production and AI-assisted content services.
AI-assisted services: where a project involves a Digital Twin, synthetic or cloned voice, virtual appearance changes or other AI-generated media featuring an identifiable person, additional personal information may be processed. These services are only used within the agreed project scope and are subject to the relevant booking agreement and consent process.
When you submit a contact form, make a booking or work with Orange Pixel Media, the information collected depends on the project. It may include your name, email address, telephone number, company or organisation, project type, timeframe, location, budget, project messages, invoices, booking information and correspondence.
Production work may also involve photographs, video recordings, audio recordings, your voice, facial likeness, appearance, performances and other material supplied or created as part of the project.
Personal information is used only where reasonably necessary to respond to enquiries, prepare and administer bookings, provide the agreed services, communicate about a project, deliver work, keep appropriate business and consent records, meet legal or accounting obligations, and protect the security and integrity of Orange Pixel Media's services.
Information is not sold. It is not used for unrelated marketing without a separate lawful basis or consent where required.
Depending on the circumstances, information may be processed because it is necessary to take steps at your request before entering into a contract, to perform a contract with you, to comply with a legal obligation, or for legitimate business interests such as managing projects and maintaining appropriate records where those interests do not override your rights.
Where consent is the appropriate legal basis — including where explicit consent is required for particular AI or biometric processing — that processing will be based on the consent provided by the person concerned. Consent can be withdrawn for future consent-based processing as explained below.
Some Orange Pixel Media projects may use artificial-intelligence tools to create approved content featuring a real person. This may include a Digital Twin or avatar based on the person's recorded appearance, a synthetic or cloned version of their voice, lip-synchronised or presenter-style video, virtual wardrobe or appearance changes within agreed boundaries, and other synthetic media agreed for the project.
To provide these services, Orange Pixel Media may process source photographs, video, audio, facial likeness, voice recordings, speech characteristics, consent recordings, generated outputs and information needed to operate or verify an AI model or account.
Depending on how a provider processes facial or voice information, that information may constitute biometric data. Where biometric data is processed for the purpose of uniquely identifying or verifying a person, it may be special category personal data under UK data-protection law. Where explicit consent is relied upon for that processing, it will be requested separately and will not be inferred merely because somebody agreed to be filmed.
Orange Pixel Media will not intentionally use a person's Digital Twin or cloned voice to make them communicate substantive wording, claims or endorsements outside the scope they have approved. The project's booking and consent process sets the permitted purpose and use of the Digital Twin, voice and other synthetic media.
The person whose face, likeness or voice is used for an AI service (the “AI Subject”) must be an adult and must provide any consent required for that processing themselves. A business owner, employer, agency or other client cannot provide personal consent on behalf of another adult AI Subject.
Where a third-party AI provider requires its own identity, likeness or consent verification, the AI Subject may also need to complete that provider's consent process. Orange Pixel Media may retain an appropriate record showing that consent and the agreed permissions were obtained.
An AI Subject may withdraw consent for future consent-based processing by contacting contact@orangepixelmedia.co.uk. Withdrawal does not make processing that was lawful before withdrawal unlawful. Once withdrawal takes effect, Orange Pixel Media will stop new consent-dependent generation within its control and, where applicable, take reasonable steps to deactivate or delete the relevant Digital Twin or voice asset from accounts it controls and submit deletion requests to relevant providers.
Withdrawal cannot guarantee removal of copies already lawfully published, downloaded, shared, cached or controlled by third parties. It may also make it impossible to continue the AI element of a project.
AI-generated outputs can contain visual, voice, pronunciation, lip-sync, gesture, background or other imperfections. Scripts and substantive claims intended to be communicated through a Digital Twin or synthetic voice are subject to the project's approval process. Client approval of a script does not change how personal information is protected under this Privacy Policy.
Where content includes prices, offers, treatment information, health or beauty claims, testimonials, product information or other factual or regulated statements, responsibility for checking and approving those statements is dealt with in the applicable project terms and booking agreement.
Orange Pixel Media does not treat consent to create client content as automatic consent for a third-party provider to use an AI Subject's identifiable material for unrelated model training or service improvement. Where a provider offers an optional choice that materially expands how identifiable client material may be used for those purposes, that choice will be handled separately where applicable.
Orange Pixel Media uses selected service providers where necessary to operate the website and deliver projects. The provider used can depend on the service booked and may change over time.
Third-party providers operate under their own terms, privacy notices, security measures, retention arrangements and subprocessors. Where Orange Pixel Media engages a provider to process personal information on its behalf, reasonable steps are taken to use providers offering appropriate data-protection arrangements.
Some technology and AI providers may process or store information outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, Orange Pixel Media will rely on an appropriate transfer mechanism or the safeguards made available through the relevant provider arrangements.
Because provider infrastructure and subprocessors can change, the exact countries involved may vary. Relevant provider privacy information can be supplied or identified as part of an AI-assisted project where appropriate.
This site does not set non-essential cookies of its own. If you accept the cookie prompt or actively choose to play a YouTube video, YouTube (owned by Google) may set cookies and browser-storage entries to enable playback, including identifiers such as YSC, VISITOR_INFO1_LIVE and locally stored device information. This applies to the main-site background video and the freelance showreel. You can withdraw or change that choice at any time via “Cookie preferences” in the website footer. Declining keeps consent-gated videos as still images until you actively choose to play one.
Cloudflare Web Analytics is used to understand overall website traffic and is configured as a privacy-focused analytics service without the site's own analytics cookies.
Information is kept only for as long as reasonably necessary for the purpose for which it was collected, to provide and support the project, maintain appropriate consent and business records, resolve disputes, or meet legal, tax and accounting obligations.
Production source material, completed work and project archives may be retained for the period described in the applicable project terms. AI source media, Digital Twin or voice assets and related consent records may have different retention periods because they can be stored both by Orange Pixel Media and by the provider used to operate the AI service.
When deletion is appropriate, Orange Pixel Media will delete or deactivate information within systems it controls and, where necessary, request deletion from relevant providers. Provider deletion may not always be immediate, and limited records may still need to be retained where required by law or to demonstrate what permissions were granted or withdrawn.
Reasonable technical and organisational measures are used to protect personal information against unauthorised access, loss, misuse or disclosure. No online, cloud or AI service can be guaranteed to be completely secure, so Orange Pixel Media does not promise absolute security.
Access to client material and AI assets is limited to what is reasonably required to provide and administer the service, including authorised providers or contractors where necessary.
Depending on the circumstances, UK data-protection law may give you rights including access to your personal information, correction of inaccurate information, erasure, restriction or objection to certain processing, data portability, and withdrawal of consent where processing relies on consent.
To exercise a right, ask a privacy question, or withdraw AI consent, email contact@orangepixelmedia.co.uk. I may need enough information to confirm your identity and locate the relevant records before acting on a request.
If you are unhappy with how your personal information has been handled, you also have the right to raise a concern with the UK Information Commissioner's Office (ICO).
This policy may be updated as Orange Pixel Media's services, providers or legal obligations change. The date at the top shows when this version was last updated. A material change to future AI processing will not be treated as permission to use an existing AI Subject's likeness, voice or biometric information for a new purpose where fresh consent is required.
